New module routes each step of a client job to the right person, includes clients in the process, and uses AI to record how every task actually ran. Available now to all customers at no extra charge.
Workiro, the document management and workflow platform for accounting firms, has launched Workflows, a module that automates the hand-offs in multi-step client jobs such as VAT returns, year-end accounts and management accounts. It is available now to every Workiro customer at no additional charge.
The timing matters for practices across Yorkshire – the first quarterly update under Making Tax Digital for Income Tax fell due on 7 August, turning one annual records cycle into four and multiplying the points at which a client job changes hands between a preparer, a reviewer, a partner and the client. The next quarterly deadline falls 7 November.
Workflows lets a firm build a repeatable process once: the steps, who does each one, and what happens after each outcome. Each step then routes automatically to the right person with the documents attached, and loops back when a reviewer requests changes. Steps can be assigned to roles, such as Approving Partner or Client Contact, and filled when the work goes live. And all the while – the evidence trail builds itself.
Three capabilities distinguish the module:
- Client-facing steps: such as collecting documents and approvals, sit inside the same workflow, so clients complete their part without seeing the firm’s internal routing.
- AI: when a task closes, Workiro’s AI drafts a plain-English account of how it ran, including key activities and outcomes – ready for quick handovers and reviews.
- Integrations: where Workiro is connected to a firm’s other systems, including TaxCalc and Xero, a workflow can take its trigger from those systems and write its status back, so progress stays in sync without double keying.
The pressure the module addresses is well documented. In the 2025 Future Ready Accountant report, 73% of European firms called completing work accurately and on time a pressing challenge, and 48% said they are turning to workflow automation in response.

Serenity Accounting & Bookkeeping reclaimed more than 400 hours a year and roughly halved time spent chasing signatures. “I don’t have to chase any more,” said director Ben Symons. Ketton Wealth cut approval turnaround from about seven days to about an hour.
